- Billing information (processed securely through Stripe)
Screen Recordings
We store screen recordings that are created through our service. These recordings may include:
- Video content of user screens
- Audio recordings (if enabled)
- Metadata such as recording duration, file size, and timestamps
Integration Data
When you connect third-party services (such as Slack, Zendesk, or Freshdesk), we store:
- Encrypted authentication tokens
- Configuration settings for your integrations
Usage Data
We automatically collect information about how you use our service, including:
- API usage statistics
- Feature usage patterns
- Error logs and diagnostic information

Data Storage Policy
CaptureAssist stores Customer Data in accordance with industry best practices and security standards:
- Storage Location: All recordings and data are stored securely in cloud storage (Amazon Web Services S3) in data centers located in the United States
- Encryption: All data is encrypted in transit using TLS/SSL protocols. Sensitive credentials (API keys, tokens) are encrypted at rest using AES-256 encryption
- Access Controls: Access to data is restricted to authorized personnel only, with role-based access controls and audit logging
- Backup and Redundancy: Data is automatically backed up and stored with redundancy to ensure availability and prevent data loss
- Infrastructure Security: Our cloud infrastructure follows industry-standard security practices, including regular security audits and compliance certifications
We implement appropriate technical and organizational measures to protect your data from unauthorized access, disclosure, alteration, or destruction.
4. Data Sharing and Disclosure
We do not sell your personal information. We may share your information only in the following circumstances:
- Service Providers: We may share data with third-party service providers who perform services on our behalf (e.g., cloud storage, payment processing)
- Integrations: When you connect integrations, we share necessary data (e.g., posting recordings to your Slack channels)
- Legal Requirements: We may disclose information if required by law or to protect our rights
5. Your Rights and Choices
You have the right to:
- Access and update your account information
- Delete your account and associated data
- Export your recordings and data

- Request deletion of specific recordings
6. Data Retention
Data Retention Policy
CaptureAssist will retain Customer Data in accordance with the following policies:
- Active Accounts: We retain all data (recordings, account information, integration settings) for as long as your account is active and in good standing
- Deleted Recordings: When you delete a recording through your dashboard, it is marked for deletion and permanently removed from our systems within 30 days
- Account Deletion: Upon account cancellation or deletion, all associated data (recordings, account information, integration settings) is scheduled for deletion and permanently removed within 30 days
- Billing Records: We retain billing and transaction records as required by law, typically for 7 years for tax and accounting purposes
- Usage Analytics: Aggregated, anonymized usage statistics may be retained indefinitely for service improvement purposes
Data Archival and Removal Policy
CaptureAssist will remove Customer Data in accordance with the following procedures:
- User-Initiated Deletion: When you delete recordings or cancel your account, data is immediately removed from active systems and scheduled for permanent deletion from backup systems within 30 days
- Automated Cleanup: Deleted recordings are automatically purged from all storage systems (primary storage, backups, and archives) within 30 days of deletion
- Account Inactivity: Inactive accounts may be archived after 12 months of inactivity, with data retained for an additional 90 days before permanent deletion
- Data Export: Before deletion, you may export your recordings and data through the dashboard. We recommend exporting important data before account cancellation
- Backup Retention: Automated backups containing deleted data are retained for up to 30 days before being permanently removed
- Legal Holds: In certain circumstances (e.g., legal proceedings), data may be retained beyond normal retention periods as required by law or court order
You can delete recordings at any time through your dashboard. Once deleted, recordings cannot be recovered after the 30-day retention period.
7. Third-Party Services
Our service integrates with third-party services (Slack, Zendesk, Freshdesk, etc.). Your use of these integrations is subject to their respective privacy policies. We are not responsible for the privacy practices of third-party services.
8. Children's Privacy
Our service is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
