Account Information

When you create an account, we collect:

  • Organization name
  • Billing information (processed securely through Stripe)

Screen Recordings

We store screen recordings created through our service. These may include:

  • Video content of user screens
  • Audio recordings (if enabled)
  • Metadata such as recording duration, file size, and timestamps

Integration Data

When you connect third-party services (such as Slack, Zendesk, or Freshdesk), we store:

  • Encrypted authentication tokens
  • Configuration settings for your integrations

Usage Data

We automatically collect information about how you use our service, including:

  • API usage statistics
  • Feature usage patterns
  • Error logs and diagnostic information

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send technical notices, updates, and support messages
  • Respond to your comments, questions, and requests
  • Monitor and analyze usage patterns and trends

3. Data Storage and Security

Data Storage Policy

CaptureAssist stores Customer Data in accordance with industry best practices and security standards:

  • Storage Location: All recordings and data are stored securely in AWS S3 data centers located in the United States
  • Encryption:
    • Data encrypted in transit using TLS/SSL
    • Sensitive credentials encrypted at rest using AES-256
  • Access Controls: Restricted to authorized personnel with role-based access controls and audit logging
  • Backup and Redundancy: Automatic backups with redundancy to prevent data loss
  • Infrastructure Security: Regular security audits and compliance certifications

We implement appropriate technical and organizational measures to protect your data from unauthorized access, disclosure, alteration, or destruction.

4. Data Sharing and Disclosure

We do not sell your personal information. We may share your information only under these circumstances:

  • Service Providers: Third-party services that operate on our behalf (e.g., cloud storage, payment processors)
  • Integrations: When you connect integrations, we share necessary data (e.g., posting recordings to Slack)
  • Legal Requirements: When required by law or needed to protect our rights

5. Your Rights and Choices

You have the right to:

  • Access and update your account information
  • Delete your account and associated data
  • Export your recordings and data
  • Opt out of marketing communications
  • Request deletion of specific recordings

6. Data Retention

Data Retention Policy

CaptureAssist will retain Customer Data as follows:

  • Active Accounts: All data retained as long as your account is active and in good standing
  • Deleted Recordings: Marked for deletion and permanently removed within 30 days
  • Account Deletion: All associated data removed within 30 days
  • Billing Records: Retained for 7 years as required by law
  • Usage Analytics: Aggregated, anonymized statistics may be retained indefinitely

Data Archival and Removal Policy

  • User-Initiated Deletion: Data removed from active systems immediately and fully purged from backups within 30 days
  • Automated Cleanup: Deleted recordings purged from all systems within 30 days
  • Account Inactivity: Accounts archived after 12 months of inactivity and permanently deleted after an additional 90 days
  • Data Export: You may export your data before account deletion
  • Backup Retention: Backups containing deleted data retained for up to 30 days
  • Legal Holds: Data may be retained beyond standard periods if required by law

Once deleted and past the 30-day retention window, recordings cannot be recovered.

7. Third-Party Services

Our service integrates with third-party platforms (Slack, Zendesk, Freshdesk, etc.). Your use of these integrations is subject to their respective privacy policies. We are not responsible for their practices.

8. Children's Privacy

Our service is not intended for users under age 13. We do not knowingly collect personal information from children under 13.

9. Changes to This Privacy Policy

We may update this Privacy Policy occasionally. Changes will be posted to this page with an updated "Last updated" date.
